Scope of work

The applicant should be able to handle skillfully the common known administrative assistant duties and responsibilities including but not limited to:

  • Handling all secretarial/clerical works
  • Be the main contact point of the company 
  • Develop and maintain a filing system, both electronic and physical
  • Maintaining comprehensive and accurate records
  • Performing minor accounting and bookkeeping duties
  • Handling petty cash
  • Office facility management; stationery, furniture, IT… 
  • Writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Answering phone calls, email, or massages and also on the behalf of the manager 
  • Organize and monitor tasks, calendar, meetings; Including scheduling, sending reminders, and organizing catering when necessary
  • Support the managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Support the update and the maintaining of office policies and procedures

  • Experience certificate/s related is a required (for all experienced applicants)
  • Able to handle the basic administrative assistant duties and responsibilities from day 1.
  • Minimum typing speed: 35WPM
  • Very good computer skills in MS Word, MS Excel, Outlook, PowerPoint
  • Able to handle outdoor admin work when required
  • Able to understand the basics of our products
  • Analytical and problem-solving skills
  • Telephone skills: inbound and outbound 
  • Must be: Fast self-learner, confident personality, detail-oriented, 100% physically fit
  • Fluent in English with a very clear accent, excellent English grammar
  • Self-motivated with a results-driven approach, goal-oriented in meeting your own deadlines with little to no supervision.
  • Disciplined and organized with the ability to multi-task; always looking to meet all requested works by the stakeholders with excellent results and performance.

  • You should be staying in an area where you have easy access to Business Bay and International City, or have your own car.


Qualifications as an advantage (plus+)

  • Working in an industry or environment close to ours is a plus+
  • Experience or strong background: FCL/LCL, international purchase, HR, IT, Finance is a plus+
  • Hands-on experience with Projects/CRM software is a plus+
  • Holding a UAE driving license is a plus+
  • Office management with team-leading experience is a plus+
  • Skilled and experienced with a total of 2 years minimum proven related experience is a plus+
  • Arabic is a plus+
  • Holding a university/diploma degree related to business, finance, logistics, IT, or engineering is a plus+
